Insights on events, technology, and the future of gathering
Lenovo hosts some of the technology industry's most complex events. Their flagship programmes span multiple days, multiple formats, and multiple continents -- with thousands of attendees participating both in person and remotely. The events combine keynote presentations, breakout sessions, hands-on product demos, partner meetings, and live entertainment into a single cohesive experience.
Before working with Canapii, Lenovo's events team managed this complexity across several disconnected tools. Registration lived in one system, check-in in another, the mobile app was a third vendor, and virtual streaming required a fourth. Each handoff between systems created data gaps, duplicated effort, and operational risk. When something went wrong on-site, there was no single source of truth to diagnose the issue.
Lenovo needed a single platform that could handle the full event lifecycle without compromises. The requirements were specific: branded registration with multi-track session selection, on-site check-in with badge printing for thousands of attendees, a native mobile app for agendas and networking, live streaming for remote participants synced to the in-person programme, and a unified analytics dashboard that covered every touchpoint.
After evaluating multiple providers, Lenovo selected Canapii for three reasons. First, every capability was available on one platform with no third-party integrations to manage. Second, the all-inclusive pricing model eliminated budget surprises as event scope evolved. Third, Canapii's dedicated support team provided hands-on operational guidance, not just technical documentation.
Canapii delivered a fully branded registration experience with conditional logic for different attendee types -- partners, customers, press, and internal staff each had tailored registration flows. Automated confirmation emails, calendar invitations, and pre-event communications were managed directly from the platform, keeping messaging consistent and reducing manual effort.
Self-service kiosks were deployed across the venue entrance, processing attendees via QR code scan and printing full-colour badges on demand. Average check-in time was under 15 seconds per attendee, with real-time dashboards showing arrival rates and capacity by zone.
The Canapii mobile app served as each attendee's personal guide -- live agenda with session bookmarks, interactive floor maps, speaker profiles, networking features, and push notifications for schedule changes. The app worked offline for areas with limited connectivity, syncing data when connection resumed.
Keynotes and selected sessions were streamed live to remote attendees through the platform. Virtual participants could ask questions, participate in polls, and interact with the same content as the in-person audience. A single production team managed both experiences from one control room.
"Canapii gives us one platform for the entire event. Registration, check-in, the mobile app, streaming -- it all works together. That simplicity is what makes it possible to deliver at the scale Lenovo requires."
Azusa Takeuchi, Lenovo Events
The partnership delivered measurable improvements across the board. Check-in processing times dropped by 60% compared to the previous multi-vendor setup. Attendee satisfaction scores for the mobile app exceeded 4.5 out of 5. The operations team reduced their tech vendor management from four separate platforms to one. And the unified data set enabled sponsor reports that were previously impossible because the data lived in silos.
Platform consolidation reduces risk: Fewer integrations means fewer failure points. When the entire event runs on one system, troubleshooting is faster and data is always consistent.
Invest in the mobile experience: Attendees spend more time in the app than any other event touchpoint. Making it fast, reliable, and genuinely useful pays dividends in engagement and satisfaction.
Plan for hybrid from the start: Adding virtual capabilities as an afterthought creates disjointed experiences. When hybrid is built into the platform, the production workflow is simpler and both audiences feel equally valued.
Real-time data changes decisions: Live dashboards allowed the Lenovo team to make operational adjustments during the event, not just after it. That responsiveness is the difference between a good event and a great one.
